| Parcels that are shipped outside of the EU will always require customs clearance into the country it is destined for which means you will need to fill out a form. Depending on whether the item is non-business or commercial you will either need to fill out either a Proforma document or a Commercial Invoice.
If you are send a parcel something like a gift or personal belongings to someone, a Proforma document will need to be completed. On this form it will ask for the senders name and address and contact details, who the recipient is with their name, address and contact details. You will need to provide the tracking number which can usually be found on the label, the reason for export and a description of the item, ie. Gift - glass ornament. You will need to be as specific as you can when describing the item/s. Always check whether the item you intend to send comes under any restrictions or because of its value, whether you need enhanced compensation.
Most businesses in order to grow will need to build up an export business, but it is not easy sending for the first time. There are companies if you search on the net, to help you in the process of exporting your goods abroad. If you book a delivery online using an online re-seller or go direct through the courier you will need to fill out a Commercial Invoice to accompany your parcel delivery. This can be downloaded usually from the site you are booking the delivery through. The following additional information will be needed. Invoice Number, Vat number if registered for VAT, Type of Export whether it is permanent or temporary. Terms of Trade ie. Whether there will be any duty to be paid by the recipient. When filling out the Country of Origin section it is not acceptable to just write EU, it would need to be Great Britain. A full and complete description of the item would be needed ie. Head gasket for Renault Clio. Unit weight and unit value of each item. Total value of the shipment - which would be the shipment charge plus any additional compensation. Total invoice amount - which would be cost of items + shipping charges. Finally you would need to sign a Declaration.
When the delivery driver comes to pick up your parcel delivery you would need to give him 3 copies of the form you have completed.
It is always advisable though before sending items through the post to other countries that you check what items may or may not be allowed into certain countries thus saving your time and possibly money by send a parcel that will be turned away from the country of destination.
